# Calendar

> Plan your day: tasks you owe your leads, meetings, viewings and open houses, with invites from your own Google or Outlook calendar.

The Calendar is where your day lives: the calls you mean to make, meetings, viewings, open houses and the days deals are due to close. Connect your Google or Outlook calendar and your other appointments show too, so a viewing never lands on top of the dentist.

Everything you add is one of two things:

- A **Task** is something you owe a lead: "Call Maja" on Thursday. It has a lead, a title and a moment, and a circle you tick when it is done.
- An **Event** is everything else: a meeting with people, a viewing of one of your homes, or time you block for yourself.

## Find your way around the Calendar

Along the top: **Today**, the view menu (**Day**, **Week**, **Month** or **Agenda**), the back and forward arrows, and the dates you are looking at. On the right: **Calendars**, **Owner** (admins) and **New**.

The sidebar holds:

- a small month: click a day to jump there;
- **Not done**: tasks whose time passed without a tick, oldest first;
- **Up next**: the next five things, with their time and people.

Each block is tinted by kind: blue for a task, violet for a meeting, green for a viewing, pink for an open house, teal for a deal's expected close. Your own Google or Outlook appointments are grey. An amber or red mark at a block's edge means it needs you, such as a meeting the lead declined.

## Add a task

1. Click an empty time, or press **New** (or `C`).
2. Pick **Task** at the top of the card.
3. Pick the **Lead**. The title fills in as "Call" and their first name; type over it if you like.
4. Click the time line to change the day or time. With no time picked, the task is **All day**.
5. Press **Save**.

The task is yours unless you pick someone else under **Assign**: a teammate, several people or a team. You can also add a task from a lead's page with **Task**.

## Add a meeting or a viewing

1. Click an empty time, or drag across a span. Pick **Event**.
2. Type a title.
3. **Add people**: type a name, email or phone to find teammates, leads and collaborators. Pick a team to add everyone in it.
4. Optionally:
   - **Place**: where it happens.
   - **Listing**: pick one of your homes. The event becomes a viewing at its address, 45 minutes long.
   - **Add Google Meet**: a video link made by your own calendar when you save.
5. Click the time line to change the day, time or length.
6. Press **Save**, or **Send invite** when someone is invited.

**More options** opens the full form, with a note and a **Calendar** choice when you can write to more than one calendar.

### Invite people

- **Teammates** see the event on their own calendar. They are never sent an invite.
- **Leads and collaborators** are linked, so the event shows on their page. To invite one, turn on the envelope on their chip.
- **Anyone else**: type their email and pick **Invite**.

Invites go from your own Google or Outlook calendar, from your own address. Answers come back to Fondaro: accepted, declined or not answered. Fondaro never writes to a lead about a meeting itself; reminders come from your own calendar. Without a connected calendar, an event is your own record and nobody is invited. See [Email setup](https://www.fondaro.com/docs/dashboard/email-setup.md).

## Tick a task done

Click the circle at the start of a task, or select it and press `X`. It stays on its day, struck through. **Undo** appears for a few seconds; click the circle again to untick it.

A task past its time and not ticked is **not done**. It stays on its own day in amber, and counts under **Not done** in the sidebar. Press **All N not done** to see them all as a list.

## Move or change something

- Drag it to another time or day, or drag its bottom edge to change its length.
- Or select it and press `R` to pick a new time from the keyboard.
- Click it to open it beside the calendar, then press the pencil (**Edit**, or `E`) at the top. Click its title to rename it. The **⋯** beside the pencil deletes it, or cancels a meeting with invited people.
- On a lead's page, click a task under **Tasks** to change its title, time or who it is on right there. **Details** opens the whole task.

Moving a meeting with invited people asks first, because their calendars will tell them. Your Google or Outlook appointments and repeating events are changed in Google or Outlook.

## Open an event

Click it to see when and where, the video link with **Join**, the lead (with **Call**), everyone else on it and your notes. Its **...** menu holds **Delete**, or **Cancel meeting** when someone was invited, which tells them.

On a viewing, **Viewing** beside the address opens it on its listing's **Viewings** tab, where you see the client, the agent who sent them, who hosts it and its status.

On a task for a lead, the arrow at the top (**Open** and their name) opens that lead beside the calendar: their name and status, **Call**, **Note**, **Task**, **Email** and their chat channels, then their tasks and activity. Switch to **Conversation** at the top (or press `M`) to read and answer their messages there, and back to **Activity** with `Shift H`. **Details** shows their contact details and everything else about them. While it is open, clicking or selecting another lead's task switches to that lead.

## Choose what the calendar shows

- **Calendars**: tick which of your Google or Outlook calendars show. Under **Type**, narrow to **Tasks**, **Meetings**, **Viewings**, **Open houses**, **Expected closes** or **Google and Outlook**.
- **Owner** (admins): add **Everyone**, a team or teammates to see their calendars beside yours. You see their Fondaro events, never their private appointments.
- **See all on the calendar**, on a lead's page, shows only that lead's tasks and events.

## Keep Google or Outlook in step

Your Google or Outlook calendar and Fondaro stay in step both ways, usually within a minute.

| You do this in Google or Outlook | What happens in Fondaro |
|---|---|
| Move or edit a meeting made in Fondaro | It changes in Fondaro too |
| Move a viewing | The viewing moves |
| Delete a viewing | The viewing stays booked, marked as not in your calendar. Cancel viewings in Fondaro. |
| Delete a meeting made in Fondaro | It is cancelled in Fondaro |
| Someone answers an invite | Their answer shows on the meeting |

Changes you make in Fondaro go to your calendar too, and your calendar tells the people invited. Ticking a task done stays in Fondaro. Fondaro shows your appointments from 30 days back to 180 days ahead. If you and your calendar change the same meeting within minutes, the later change wins and the meeting says which change was not kept.
