Deals

Track each sale on a board, from first interest to signed contract, with the commission split across everyone involved.

A deal is a sale you are working on with a lead. It has a stage, a sale price, an expected close date, an optional linked listing, and a commission split across everyone involved. Open Deals in the icon bar to see them as a board.

Create a deal

  1. Press New deal on the Deals board, or Create › New deal in the top bar.
  2. Pick the Lead, and type a title and sale price.
  3. Pick the stage it starts in, the assignees, the expected close date and the property.
  4. Save. The deal opens on its own page, where you add the commission and parties.

The assignees start as the lead's owners. Change them to hand the deal to a colleague, or pick a whole team. Anyone on a deal is also added to its lead, so they can see the lead's history.

Move a deal through its stages

The five stages are Interested, Viewing, Offer, Reserved and Under contract.

  • On the board, drag a card to another column, or select it and press M.
  • On the deal's page, click a stage on the track under its name.

Put deals on a board

Hover a deal on the board and tick the box where its face was, or Cmd, Ctrl or Shift click the card, or press X on the card you are on. The row above the board shows how many you ticked, with Clear and Add to board. Pick a whiteboard or New board: the deals go on it as cards in a frame named after the view (for example Open deals), and you stay on the board. Press Esc to let go of the ticks. One deal's page has Add to board beside Mark lost and Mark won.

Win, lose or reopen a deal

On an open deal's page, press Mark won or Mark lost (which asks for an optional reason). Undo in the message reopens it. A closed deal shows Reopen; dragging a won or lost card onto a stage reopens it too.

Filter the board

In the sidebar:

  • Open (the default), Won, Lost or All. Each column shows the total value of its deals.
  • Owner (admins): one person's deals, several, a team or everyone.
  • Filters: Expected close, Created, Closed and Amount, each opening a picker. Payment shows Awaiting payment or Collected.

Above the board, Search deals matches a deal's title and the lead's name or email. Your filters stay in the page address, so you can share the exact view.

Edit a deal

Click a deal on the board to open its page. It holds:

  • Details: title, sale price, assignees, expected close date and linked property. Type a listing's reference or town to link it.
  • Commission: what the agency invoices on the sale.
  • Parties: everyone on the deal, under Buyer side, Seller side and your own agents.
  • Conversation: the lead's latest emails and messages.

The sidebar shows the Summary (who earns what, as you type), Finance (estimated collection date, the date it was collected, your invoice number) and the Stage history.

Your edits wait until you press Save (or ⌘S). Unsaved changes shows until then, with Discard. Stage changes, Mark won, Mark lost and Reopen save at once.

Work on a deal together

When a teammate has the same deal open, their face appears beside its title. While they change a field, that field gets an outline in their colour with their face on its corner, and when they save, it briefly fills with their colour as the new value appears.

A teammate's saved change shows up in your page straight away, without losing your own edits: fields you have not touched take their new value, and fields you are changing keep yours. Save sends only the fields you changed, so you never write their change back. If you both change the same field, the last save wins.

Split the commission

Enter the commission as a percentage or an amount with the Mode toggle; the other fills itself in. Fondaro splits it in two steps:

  1. Collaborators (another agency, a referrer, an outside agent) take their share of the total commission. What is left is the agency commission.
  2. Your agents take their share of the agency commission. What is left is what the agency keeps.

To add someone, press Add in Parties and choose Add outside agent or Add teammate. Click a person's line to set their side, their share, a note, or (for your agents) Paid and their invoice reference.

  • Shares cannot go above 100%, or add up to more than the commission pays. A share that does is shown in red and Save waits.
  • Payouts are whole cents; any leftover cent goes to the largest share, so the parts always add up.
  • An outside agent is always paid as a collaborator. Being on your deal gives them no access to the deal or your CRM.

Export deals to Excel

Press Export above the board. The file holds exactly the deals your view shows, up to 20,000, in two sheets:

  • Deals: one row per deal, with its stage, price, currency, the full commission breakdown, the key dates, the lead and the property.
  • Participants: one row per person on each deal, with their role, side and commission.

Amounts and dates are real numbers and dates, so sums and filters work straight away. Currency is its own column: filter by it before adding amounts.

Delete a deal (admins)

Press Delete deal at the foot of the deal's page. The deal and its stage history go; the lead and its notes stay. You can leave a note on the lead about why. If the deal already has an invoice number or a collection date, closing it as lost is usually better, because it keeps the record.

Board limits

The board loads the 1,000 most recently active deals. If your view has more, it says so and marks the totals as partial. The export always includes everything in the view.
