Teams
Group your members into teams such as Sales or Rentals, assign a whole team in one pick, and scope tags to a team.
Admin only: Only organization administrators can create and manage teams. Everyone in your organization can pick a team wherever a picker offers one.
A team is a named group of people in your organization, for example Sales, Rentals or New builds. Instead of ticking the same eight people one by one every time, you pick the team and Fondaro adds everyone in it.
How teams work
- A shortcut, not a live link. When you assign a team to a lead, Fondaro adds the people who are in the team at that moment. Someone who joins the team later does not automatically get the leads the team was given before, and someone who leaves the team keeps what they already have.
- People, not a team, own the record. After you pick a team, the lead shows the individual people. You can take one of them off without touching the rest.
- History remembers the team. The lead's activity feed says who made the change and which team it came through, for example "Ana assigned Ben, Cleo and Dan via Sales".
- Tags are the exception. A tag scoped to a team is visible to whoever is in the team today, including people who join later. See Tags.
Creating a team
- In the sidebar, go to Settings → General → Teams.
- Click New team.
- Give the team a name (up to 80 characters) and pick a color.
- Under Members, pick the people in the team.
- Click Create team.
Team names are unique in your organization, ignoring upper and lower case. A team can have up to 50 members, the same as the most people one lead can be assigned. The counter under the member picker shows how close you are, and the picker stops you before you go over.
Editing a team
Click the pencil icon on a team's row to rename it, change its color or change who is in it. The table updates straight away; if the save fails, your change is undone and you see a message.
Removing someone from a team never removes them from the leads, deals or tasks they already have.
Giving new members the team's current work
When you add people to an existing team, Fondaro asks: Also give them this team's current assignments?
- Choose Add assignments to add the new people to the leads, deals and tasks the team was assigned and still holds. When it finishes you see how many of each were updated.
- Choose Not now to leave their existing work as it is. New assignments made through the team from now on include them either way.
This is always your choice, never automatic. Adding people this way does not trigger automations such as Loops or webhooks for those records, and nobody is removed. A very large team history is added in batches: if there is more to do, click Continue.
Archiving and restoring a team
Click the archive icon on a team's row to retire it. An archived team:
- disappears from every picker, so nobody can assign it any more;
- keeps its members, so restoring it brings everything back;
- still appears by name in the activity history of the leads it was used on;
- keeps working in the visibility of any tag already scoped to it, until you take it off that tag.
Find archived teams on the Archived tab and click the restore icon to bring one back. Teams are never deleted, and an archived team still reserves its name.
Assigning a team
Where a picker offers teams, they are listed under Teams, above the individual Members. Each team shows its members' avatars and how many people are in it.
- Pick a team to add all of its people. Each person added this way shows "via Sales" (or whichever team) in the picker.
- Pick the team again to take all of its people off.
- Untick one person to take just them off. The rest stay.
If adding a team would take a lead past 50 people, the picker tells you and nothing changes.
You can pick a team wherever Fondaro asks who a record belongs to:
- Leads: the Assign to column of the Unassigned list, a lead's assignees on its detail page, and Add lead.
- Deals: Assignees when you create a deal. A commission user row is one person, so there teams only narrow the member list.
- Documents: Members in a document's Details panel.
- Phone numbers: the Owner column under Calling setup.
- Viewing by team: admins can pick a team in the member scope at the top of CRM pages to see that team's work.
- Saved settings: smart view assignee filters, Loops, lead routing pools and a board column's quick assignees. These save the people a team holds when you pick it, so someone who joins the team later is not added.
- Tags: a tag's Visible to setting, where a team stays a live reference (see below).
Teams and tags
When an admin scopes a tag under Visible to, they can pick teams as well as people. A tag scoped to a team appears in the tag picker for everyone in that team, including people who join it later, plus any members picked directly. Admins always see every tag. See Tags for the details.
Using teams from the API and Ask Fondaro
Developers can list teams and assign them through the API with teamIds; see the Teams API. Ask Fondaro can list your teams too, so you can ask it to assign a lead to a team by name.
