Viewings & Collaborators

Register property viewings, record the external agent who sent a client, and keep the property and CRM timelines connected.

Fondaro connects an own listing, the client who viewed it, the external agent who referred that client, the hosting team member, and an optional deal. This makes “who sent whom, and what happened next?” visible from both the property and CRM.

Register an external collaborator

External agents are stored as CRM leads with the Collaborator type:

  1. Open the CRM and choose Add lead.
  2. Select Collaborator as the type.
  3. Enter the agent's name. Email and phone are optional, so a name-only collaborator is valid.
  4. Save the lead.

Collaborator leads are CRM contacts. They are deliberately excluded from buyer/seller lead groups, subscriptions, and advertising audiences.

When you add a collaborator participant to a deal, Fondaro's picker shows collaborator-type leads and lets the deal record that party's commission share.

Record who sent a client

Open the client lead and set Sent by in the information panel. The picker is restricted to collaborator leads. The resulting chip links the client to the referring external agent.

The link does not grant another teammate access to either lead. CRM assignment and admin rules still control whether the linked lead page can be opened.

Register a viewing

From an own listing, open the Viewings tab and choose Register viewing. The same action is available on the Activity tab and in the Overview cockpit. Enter:

  • date and time;
  • optional client lead;
  • optional collaborator who sent the client;
  • hosting organization member, which defaults to you and can also be left unassigned;
  • In person or Virtual; and
  • optional notes.

Fondaro derives the initial status from the date: a past time starts as Completed and a future time starts as Scheduled. When editing a viewing, you can choose Scheduled, Completed, Cancelled, or No show directly.

If the selected client has an open deal on this listing and that deal is not already at the Viewing stage, Fondaro offers a one-click prompt to move it there after registration.

Manage viewings

The Viewings tab is the listing's working register. Upcoming viewings sort soonest first so the next appointment is always at the top; past viewings follow, most recent first. From a row's menu you can edit the viewing, delete it, or change its status directly: mark a scheduled viewing Completed, No show, or Cancelled, or return an outcome to Scheduled if plans change. Status changes update the property Activity feed and the client's CRM timeline immediately.

Visibility and editing

Viewings and the property Activity feed are visible to members of the owning organization. Attaching a client or collaborator is stricter: a member can select only CRM leads already visible to them; an organization admin can select any eligible lead in the organization. Registering a viewing never grants lead access.

The member who registered a viewing can edit or delete it. Organization admins can edit or delete any viewing. Other members can read it in the property feed.

Where the event appears

A registered viewing appears in three places:

  • the own listing's Viewings tab, split into upcoming and past;
  • the own listing's Activity feed, with client and collaborator name labels where available; and
  • the client's CRM timeline, with the property reference and collaborator context.

Deleting a viewing removes that viewing event from both read models. It does not delete the client, collaborator, deal, or property.
