Zapier
Connect Fondaro to Zapier: start a Zap when something happens in your CRM, and create, find and update leads, deals, tasks and notes.
Zapier connects Fondaro to thousands of other apps. The Fondaro app starts a Zap when something happens in your CRM, and can create, find and update leads, deals, tasks and notes as a step in any Zap.
Connect Fondaro
Only organization admins can connect Fondaro, because a Zap acts for the whole agency.
- In Fondaro, open Settings › Integrations › Zapier and select Set up in Zapier.
- In Zapier, create a Zap and search for Fondaro when you choose the trigger or action app.
- Select Sign in. Fondaro asks you to approve the connection for your agency: Zapier can read and update leads, deals, tasks, notes and tags, look up team members and viewings, and listen for changes.
- Pick a trigger, map the fields, then turn the Zap on.
Once connected, Settings › Integrations › Zapier shows the connection and how many Zaps are listening. Select Disconnect to end it; every Zap using it stops until you reconnect.
Triggers
A trigger starts the Zap the moment something happens. Each gives you the record itself (the lead, the deal) so you don't need a lookup step.
| Trigger | Starts when | Options |
|---|---|---|
| New Lead | A lead lands in your CRM | Only leads from your lead plans |
| Lead Status Changed | A lead's status changes; you get the old and new status | To status |
| Lead Assigned | A lead is assigned; you get the lead and the team members added, with their name and email | Only when assigned to |
| Lead Tagged | A tag is added to a lead | Only for tags |
| Lead Untagged | A tag is removed from a lead | Only for tags |
| New Deal | A deal is created | Stage |
| Deal Stage Changed | A deal moves to another stage | To stage |
| Deal Won | A deal is closed as won; you get its value | |
| Deal Lost | A deal is closed as lost; you get the reason | |
| New Task | A task is created on a lead | |
| Task Completed | A task is completed | |
| New Note | A note is added to a lead | |
| Call Logged | A call is recorded on a lead; you get the outcome and who made it | Outcome, Missed calls only |
| Call Analyzed | A call's analysis is ready, with its written summary |
Each result also carries the event name, a delivery id and when it happened, so a Zap can tell a repeat from something new. Webhooks arrive at least once; use the delivery id if a step must never run twice.
Only leads from your lead plans
Turn this on in New Lead to skip leads you added yourself (imports, forms, manual entry) and start only for leads Fondaro brought you through a lead plan. Those leads also carry the plan's name as leadPlanName.
Actions
| Action | Does |
|---|---|
| Create Lead | Adds a lead. First name plus an email or a phone is required; language defaults to en-GB. Unknown tag names are created. |
| Update Lead Contact | Changes a lead's contact details and company |
| Update Lead Status | Changes a lead's status |
| Add Lead Assignees | Adds team members to a lead and keeps the people already assigned |
| Add Tags to Lead | Adds tags by name or id |
| Create Deal | Opens a deal, using your billing currency |
| Change Deal Stage | Moves a deal to another stage |
| Close Deal as Won | Marks a deal won |
| Close Deal as Lost | Marks a deal lost, with an optional reason |
| Create Task | Adds a task to a lead |
| Create Note | Adds a note to a lead |
Searches
A search finds a record so a later step can use it. If nothing matches, the Zap carries on with an empty result, or stops, as you choose.
| Search | Finds |
|---|---|
| Find Lead | One lead by email, phone or external id |
| Find Lead by ID | One lead by its id |
| Search Leads | Leads by text |
| Find Leads | Leads filtered by assignee, tags or status |
| Find Lead Activities | A lead's history: calls, emails, notes, tasks and more |
| Find Lead Calls | A lead's calls |
| Find Leads by Meaning | Leads that match a description in plain words, such as "wants a sea view under €800k" |
| Find Leads for a Listing | Leads whose history fits one listing |
| Find Lead Tags | A lead's tags |
| Find Deal | One deal |
| Find Deals on Lead | A lead's deals |
| Find Team Member | A team member by id or email |
| Find Viewing | One viewing |
| Find Viewings | Viewings on your own listings, by listing, lead, agent, status or time |
Searches that return a list give you every item as its own line, so a later step can run once for each.
Find or Create Lead
Find or Create Lead looks up a lead by email, phone or external id and creates it if there is none. Use it to stop a Facebook or TikTok form from adding the same person twice.
Pickers
Fields such as tags, team members and lead sources are dropdowns filled from your own CRM, so you choose names, not ids.
Limits
Each connection allows 120 requests a minute. If a Zap goes over, Zapier waits and retries.
Troubleshooting
| Problem | Fix |
|---|---|
| Zapier says the connection expired | Reconnect Fondaro in Zapier. A connection ends when the person who made it leaves the team or stops being an admin; an admin reconnects it. |
| A Zap stopped firing | Fondaro pauses a Zap's delivery after repeated failures, or when Zapier tells it the Zap is gone. Turn the Zap off and on again. |
| "Too many subscriptions" | An agency can have 100 Zaps and workflows listening at once. Turn off the ones you don't use. |
| A step says you can't do that | Only admins can connect; check who made the connection under Settings › Integrations › Zapier. |
